What sources do you validate against exactly?
We validate against SUNAT's RUC Registry, the Coercive Collection List, El Peruano publications, and databases for tax regime, retention/perception agents, and address changes.
How often are validations updated?
SUNAT sources are updated daily. Every time you process a batch, we validate against the most recent information available.
What file formats do you support?
We support electronic invoicing XML, Excel files (.xlsx, .xls), CSV, and PLE files generated by accounting systems.
Can I validate suppliers from previous periods?
Yes. You can upload invoices from any period and we'll validate the supplier's status both current and historical if available.
What happens if you find a supplier with issues?
You receive an immediate alert with problem details, risk level, and action recommendations. You can document your decision directly in Tolmin.
What types of errors does the AI detect?
It detects RUC inconsistencies (format, check digit), amounts that don't match between tax base and IGV, dates outside the period, incorrect invoice types, and suppliers with irregular SUNAT status.
Does it replace the accountant or analyst?
No. Tolmin Intelligence automates repetitive and validation tasks, freeing time for your team to focus on analysis, advisory, and decisions that require professional judgment.
How accurate is error detection?
Accuracy depends on the error type. For format errors and SUNAT validation, accuracy is 99%+. For inconsistencies requiring interpretation, the AI suggests and the user confirms.
Is my data secure with the AI?
Yes. We use encryption in transit and at rest, AWS servers with SOC 2 certification, and never share data between clients. Each workspace is completely isolated.
Does it work with any file format?
We support the most common formats: Excel (.xlsx, .xls), CSV, electronic invoicing XML, and PLE files. If you have a special format, we can evaluate it.
Do my clients need to create an account to upload documents?
Not necessarily. You can send them an upload link where they upload files directly to their folder in your workspace, without creating an account or remembering passwords.
Can I control what each team member sees?
Yes. Tolmin has granular permissions: you can give full access, read-only, or limited access to certain clients or projects. Each role is configurable.
What happens with emails? Are they copied to Tolmin?
You can connect your Gmail or Outlook accounts. Relevant emails are automatically associated with the corresponding client, and you can see communication history without leaving Tolmin.
Is there a storage limit?
Storage depends on your plan. All plans include generous storage for typical accounting documents. For special needs, we have additional storage options.
Can I see who made each change?
Yes. Every action in Tolmin is recorded with date, time, and user. You can see the complete history of any file or project, and revert changes if needed.
How fast is processing really?
Time depends on volume. A typical client with 500 monthly invoices sees results in less than 5 minutes. Clients with 5,000+ invoices complete the process in less than 30 minutes.
Does it work with any Excel format?
Tolmin automatically detects your file structure. If you use a custom format, the system learns your structure after the first import.
What happens if there are errors in the source data?
Tolmin detects and flags errors automatically: invalid RUCs, amounts that don't match, dates out of range. You receive an inconsistency report before generating the PLE.
Can I process multiple clients at once?
Yes. Each client has their own workspace. You can have multiple processes running in parallel without interfering with each other.
Is the generated PLE ready for SUNAT?
Yes. The PLE follows the official SUNAT format. You can download it and upload it directly to the portal, or submit it via SIRE if applicable.
